How to Write an Evaluation
Here we shall be discussing about the method of writing a personal evaluation. But before diving deep into the topic, we should have an idea about what a personal evaluation actually is. A personal evaluation is often undertaken by businesses and companies to understand and evaluate the quality of work of its employees. A personal evaluation is done both for positive career changes as well as negative career changes. While deciding whether to award an employee with a salary raise/promotion or while contemplating to layoff/terminate an employee, a personal evaluation is very essential. One has to exercise extreme accuracy while writing a personal evaluation. There are certain points which are to be considered while writing a personal evaluation of an employee. The points which are to be kept in mind are as follows:
- You shall have to begin by following a particular template. Almost all companies today have a fixed format which needs to be followed while writing a personal evaluation. By following a fixed template, one is sure that all the employees are evaluated and judged by the same criteria. However managers and certain line workers are evaluated in a different manner. Incase you are not sure about the template used while personal evaluation of an employee; you can freely consult the HR department of your company.
- The next step after knowing about the template is to fix up an appointment with your employees. You have to schedule a meeting with your employees and make sure that it is undertaken in private. This meeting should be done on an individual basis and not in groups. You can ask your employees to come for the meeting during their working hours. This will make you save company’s money. There are some companies which pay their employees a flat fee for making them attend the evaluation meeting during non working hours.
- Ask the Human resource department in your company to give you the employee’s personal file. Study the file before meeting with the employee for the evaluation. Make a list of all the past reprimands and negative job evaluations of the employee by studying the file. You also have to check whether all those negative evaluations
have been corrected by the employee appropriately or not. - Schedule a meeting with the employee’s reporting manager/supervisor and ask him about the current status of the quality of work by the employee to be evaluated. You have to know information about the tardiness, level of work and other information which seems relevant for evaluating the employee.
- After gathering all the relevant information about the employee, you shall have to compare his past performance record with his current records.
- While you are in meeting with the employee that you shall be evaluating, make sure that you ask him about all those topics on which you could not receive any information from his reporting authority. Let the employee clarify his point of view also during the meeting.
- Incase the employee that you are evaluating has never been evaluated before then you shall have to explain him/her about the process and method of evaluation by the company. Clarify any doubts that might arise in the employee’s mind.
- Now set to write the personal evaluation report. Always be clear and concise while writing the personal evaluation of the employee. Mention the relevant things that you want to write in point form and not in an essay format. Incase you want to explain some point in detail then include the same on a separate page in the report.
