They transfer the documents using affordable devices operating over the telephone network. Extensively used in offices, the machine is also used as copying machine and for tracking transmission of documents for the preceding days. The usage of this multi-tasking device can be confusing for the persons using it for the first time. But with the following instructions anyone can easily operate the machine.

For sending fax

Create the cover page or cover letter for your document. This letter must contain the name of the recipient along with the intended fax number, subject matter, name and contact of the sender. Place the cover letter on top of your documents and then place them into the fax machine feeder opposite the direction the machine indicates.
Now insert the fax number into the machine and wait for a fax tone. You will find a number pad on the fax machine where you need to type in the number carefully without any mistakes because it is really difficult to locate the dialed wrong fax number.
Next press the send button when you hear the fax tone (which is a long, high pitch beep).You can easily identify the send key which is usually placed next to or below the keypad.
You can put the receiver down when the transmission starts. Once the document has been sent or transferred, the fax machine will give a beeping sound.
If you want you can print out a transmission record to keep it as a proof that you have successfully sent the document.

For Receiving Document

When a fax transmission is received, you will hear a fax tone. At this point you must hit the send/receive button and put the receiver down as the transmission starts.
If you are using a telefax, then the caller will ask you for a fax tone. To “give” a fax tone, you have to press the send/receive button, and then you must put the receiver down when you hear the fax tone.
