How to Set Up an Automatic Email Reply
You can create an automated reply email if your service provider provides you this option in its email software. Using this option you can send a general customized reply message to all the persons from whom your email address has received an email. The most common usage of this time of automated reply is the “Out of Office” feature included in Microsoft in its Outlook Express. Whenever someone is on vacation, they use this feature to reply to any message received by their mail id saying that they cannot take any action on the received mail being out of office on vacation. There are some individual email providers like Yahoo! Mail, Gmail and Windows Live Hotmail, who provide this feature as part of individual mail service.
Instructions
If you are using Windows Live Hotmail
- Login into Windows Live Hotmail account and go to your inbox.
- Click on Options > More Options at extreme right
- Click on the Sending automated vacation replies under Manage your account
- Type the customized vacation message that will be sent to each email id from which you receive any mail during your vacation.
- You have option to Send vacation replies to people who email you. Get the checkbox checked. The automated vacation mail will be sent to each id from which you have received any mails once in every 4 days.
- Click on save button to save the drafted message and the option.
- Now the automated reply system will reply to any email received by you till you disable the option from your Hotmail.
If you are using Yahoo! Mail
- Sign in to Yahoo! Mail. Click the Mail Options link in the upper-right corner of the page and select Vacation Response.
- Set the duration for sending the automated reply by entering the starting and end date of your vacation in the Start Date and End Date fields respectively.
- Type the generic reply message within 10 lines which will be sent to each mail id from which you receive any email during your vacation. You have also option to customize replying messages based on different domains.
- You can also see a sample of the auto reply message by clicking on the Send a sample copy of this message to my Inbox checkbox.
- After completing your autoreply customization and configuration, click on the Turn Auto-Response On button to activate the service.
If you are using Gmail
- Log in to your Gmail account. Select the Settings option at top right.
- Click on the General tab on the Settings page.
- Look for the Vacation responder option by scrolling down. Select Enable Vacation responder on by making the radiobutton checked.
- Enter your vacation start and end date, subject line of the replying email and the text to be send in the email in their respective fields.
- You can also select the respective checkboxes to O Only and send a response to people in my Contacts or Only and send a response to people in SCW.
- Click on the Save Changes button to activate the automated replying service.
